SAP

What to export from SAP ECC or S/4HANA for purchase to pay and order to cash, and what to ask your SAP team for.

glasstarn reads SAP tables you export yourself, or that your SAP team exports for you. It does not connect to SAP directly. Your agent tells you exactly which tables, columns and filters to use, so you do not need to know SAP.

Tell your agent which process and which system you have:

We use SAP S/4HANA. I want to look at purchase to pay for company code 1000, last 6 months.

Your agent writes an export request you can forward to your SAP team. It lists each table, only the columns needed, the period and filters, and the file names to use.

Follows each purchase order line from requisition to payment.

Table What it holds
LFA1 Vendors
EBAN Purchase requisition lines
EKKO, EKPO Purchase order headers and lines
EKBE History of each order line: goods receipts, invoices
RBKP, RSEG Invoice headers and lines
BKPF, BSAK Accounting documents and cleared vendor items (payments)
CDHDR, CDPOS Change history (optional, but recommended)
T16FB Release settings (optional, for approval steps)

There is also an accounts payable version that follows each invoice from receipt to payment. It needs only LFA1, RBKP, BKPF and BSAK, plus the optional change history.

Follows each sales order line from order to customer payment.

Table What it holds
KNA1 Customers
VBAK, VBAP Sales order headers and lines
LIKP, LIPS Deliveries and delivery lines
VBRK, VBRP Invoices and invoice lines
BKPF, BSAD Accounting documents and cleared customer items (payments)
CDHDR, CDPOS Change history (optional, but recommended)

Plan to produce and plant maintenance are tested. Record to report, and SAP S/4HANA Cloud, Ariba, Business One and Business ByDesign, are not tested yet. See Systems glasstarn knows.

If you are not sure who to ask, start with whoever runs SAP reports for your area, or your SAP basis or BI team. A request usually looks like this, and your agent fills in the details:

Please export these tables for company code 1000, documents created from 1 January to 30 June, as CSV with column headers: EKKO, EKPO, EKBE, RBKP, RSEG, BKPF, BSAK, LFA1, EBAN, and the CDHDR/CDPOS change records for purchasing documents. Keep the technical column names. One file per table.

  • One system and client per export. Do not mix exports from two SAP systems in one set.
  • The system clock. Your agent asks which time zone the SAP system uses, so times line up.
  • Change history (CDHDR and CDPOS) shows price changes, block releases and other edits. Without it you still get the main steps.
  • Payments. SAP records that a vendor or customer item was cleared. glasstarn calls this Clear vendor item or Post customer payment, because clearing alone does not prove a bank payment.
